Mitthua Sarkar-Banks, Director - People & Culture
The Program/Grant Coordinator provides administrative and coordination support to Genome Alberta’s Programs team, supporting the effective administration of funded projects, competitions, project reporting, agreements and related program activities.
Reporting directly to the Associate Director of Programs (ADP) and working closely with the Sector Innovation Managers (SIMs), the Coordinator maintains program records and systems, tracks reporting requirements and deadlines, coordinates meetings and logistics, and supports administrative and compliance processes. The position requires strong organization, attention to detail and the ability to manage multiple priorities and follow-up requirements.
Key Responsibilities
Program & Portfolio Coordination
- Maintain project reporting calendars and trackers, monitor deadlines and provide reminders to project teams and SIMs regarding upcoming requirements/deliverables.
- Track receipt and completeness of all reports, metrics/transactions, approvals, signatures and supporting documentation and follow up on outstanding items.
- Monitor SmartSimple and ProposalCentral for transactions, reporting requirements, communications and required actions.
- Conduct administrative and compliance reviews of incoming project applications using established program and budget checklists, including verification of calculations, eligible budget categories, co-funding ratios, supporting explanations and required documentation.
- Flag discrepancies, incomplete information or potential issues to the responsible SIM for programmatic review and decision.
- Coordinate signatures, submissions and filing following programmatic approval and track resulting approvals.
Grant Coordination and Administration
- Support the administration of program-related agreements, amendments and approvals.
- Compile agreement and approval packages, coordinate signatures and follow up with parties as required.
- Ensure executed agreements, approvals and supporting documentation are appropriately filed and stored.
- Maintain organized SharePoint and project folders, including consistent naming conventions, version control and appropriate document filing.
- Archive completed competitions and projects in accordance with established practices.
Meetings, Reviews & Travel
- Coordinate scheduling for project reviews, workshops, meetings and other Programs activities, including availability polling, calendar invitations, confirmations and reminders.
- Coordinate travel arrangements, including flights, accommodations, mileage and per diem documentation and travel claims.
- Arrange venues, catering and meeting logistics and support preparation of agendas and meeting materials.
- Prepare reviewer invoices and coordinate signatures, processing and submission to Finance.
- Collect and maintain Conflict of Interest forms and reviewer information for future program requirements.
Database and Information Management
- Ensure completeness, consistency, and accuracy of transactions withing SmartSimple. Support data access and information gathering as required.
- Support the maintenance of stakeholder and organizational contacts within the CRM, including sector, geography, role, organization and relationship information.
- Work with relevant GAB staff to maintain stakeholder groups, distribution lists and records of reviewers, researchers, industry partners, government contacts and Indigenous/community partners.
- Identify duplicate, outdated or inaccurate records and support ongoing SmartSimple and CRM data quality.
Qualifications & Skills
- Post-secondary education in business administration, project/program administration or a related field, or an equivalent combination of education and experience.
- Post-secondary education/knowledge of biological sciences, genetics and genomics would be an asset, but not a necessity
- Strong organizational and administrative skills with demonstrated ability to manage multiple deadlines and competing priorities.
- Excellent attention to detail and ability to identify missing, inconsistent or inaccurate information.
- Comfort working with budgets, calculations and financial documentation.
- Strong written and verbal communication skills.
- Ability to exercise sound judgment and recognize when matters should be escalated to the appropriate program lead.
- Strong proficiency with Microsoft Office, including Outlook, Excel, Word and SharePoint.
- Experience with CRM, grant-management or project-management systems is an asset.
- Ability to handle confidential and sensitive information with discretion.
- Ability to work independently while collaborating effectively with a multidisciplinary team.

Business Development Industry Partnership Program
This program pairs recent graduates from business schools at Alberta’s post-secondary institutions, with Alberta based life sciences companies that are utilizing genomics/omics technologies. The goal of this program is to foster and retain talent in Alberta while helping industry enhance their value and growth.
Eligibility
- An Alberta resident, eligible to work in Canada.
- A recent graduate (graduated at or after April 1, 2022) from an Alberta post-secondary program with relevancy to business and business development.

About the Role
As a contributor to Genome Alberta’s Programs team, the position will be a pivotal component of end-to-end oversight of our sector-focused innovation activities, programs and projects. This includes, but is not limited to: sector knowledge and awareness, project and program development, and oversight of a portfolio of projects in the areas of natural resources and the environment.
The position reports to both the Chief Scientific Officer and Chief Operating Officer and can be based in either Edmonton or Calgary.
Key duties for this position include:
Project and Program Development
- In conjunction with senior management, support development of relevant Genome Alberta project submissions to federal and provincial opportunities.
- In conjunction with senior management, support the development and management of Genome Alberta’s funding programs for the target sector.
- In collaboration with Alberta’s research and innovation organizations, support Alberta’s life sciences research community in effectively competing for federal research and innovation funding (i.e., Genome Canada and other federal opportunities).
Portfolio Oversight
- Coordinate engagement, reporting, oversight, and review activities for the federally funded innovation projects that Genome Alberta is responsible for managing in the target sector.
- Coordinate reporting, oversight and review activities for innovation projects funded under Genome Alberta programs within the target sector.
- Work with Genome Alberta’s Finance team to ensure overall financial health and stability of funded innovation projects.
- Work with Genome Alberta’s Programs and Communications teams and relevant project personnel to identify, create, and promote information on successes and outputs that showcase the impact of Genome Alberta and its innovation portfolio.
- Work with Project Managers, Project Leaders, and relevant Organizations and Stakeholders to identify IP and other tangible socio/economic benefits that can arise from research investments, including advancement of commercialization opportunities.
Sector Knowledge and Awareness
- Research and maintain strong awareness of sector priorities in Alberta and activities impacting sector growth and advancement.
- Build and maintain relationships with sector partners, stakeholders, and community members to understand near-, mid-, and long-term innovation needs.
- Collaborate, liaise, and engage with appropriate personnel at Genome Canada, Regional Genome Centres, and other provincial or Federal innovation bodies to ensure Genome Alberta and our innovation activities are well represented.
- Articulate how omics can provide demonstrable solutions to ongoing and emerging sector priorities to guide program/project activities.
Additional duties to support corporate outreach and reporting activities related to the target sector and program/portfolio information will be required.
Qualifications

- A strong working knowledge of genomics-based technologies and tools, including bioinformatics, and their application to the sector at large.
- Minimum of 5 years work experience post-graduation, in the natural resources sector, i.e., forestry, oil/gas, environment.
- A MSc or PhD degree in science or engineering.
Preferred Qualifications
- A business degree or business development experience tied to the natural resources sector would be an asset.
- Previous experience working with and developing strong relationships with relevant stakeholders, including industry would be an asset.
- Previous working experience with funding agencies would be an asset.
- Knowledge of project and grant management policies at innovation-focused organizations (industry, government, academic) would be an asset.
